2. Applicability of Terms

These Terms and Conditions govern the relationship between you (“Client”) and Tanzania Kili Climb Experts (“Company”).

They apply when:

  • You book directly with us
  • You book through a partner or travel agent

By booking a tour, you agree to these Terms and Conditions.


3. Our Commitments

We guarantee that:

  • We operate legally within Tanzania
  • Our guides and staff are trained professionals
  • We promote responsible and sustainable tourism
  • We support local communities and fair wages
  • We follow environmental “leave-no-trace” principles
  • All information provided about our services is accurate

4. Booking & Payment Process

Booking

  • Booking starts with an inquiry via email, phone, or website
  • A travel consultant will assist you
  • A deposit is required to confirm your booking

Payment Terms

  • Full payment must be completed 14 days before the tour start date
  • All tours must be fully prepaid unless agreed otherwise
  • Bank charges and transfer fees are paid by the client
  • Credit card payments may include a processing fee

Failure to complete payments on time may result in cancellation.


5. Pricing Policy

Once confirmed, prices remain fixed except in cases of:

  • Government tax changes
  • National park fee increases

In such cases, you may:

  • Accept the new price
  • Cancel your booking (subject to cancellation policy)

6. Changes & Cancellations

Changes by Client

  • Changes are allowed if they don’t incur extra costs
  • Additional costs must be covered by the client
  • No refunds for unused services

Changes by Company

We may adjust itineraries due to:

  • Weather conditions
  • Safety concerns
  • Park regulations

Cancellation Policy

Cancellation Fees:

  • Deposit is partially non-refundable
  • 90+ days before: 10%
  • 60–89 days: 30%
  • 30–59 days: 60%
  • 8–29 days: 80%
  • 0–7 days: No refund

Refunds may be adjusted based on third-party penalties (hotels, airlines).


7. Travel Requirements

You are responsible for:

  • Valid passport (minimum 6 months validity)
  • Visa for Tanzania
  • Compliance with immigration requirements

We are not liable for denied entry into Tanzania.


8. Health & Safety

  • You must assess your fitness for trekking or safari
  • Medical disclosure may be required
  • We may refuse participation if health risks are identified
  • Special dietary needs must be communicated in advance

Age Restrictions (Kilimanjaro Climbs)

  • Minimum age: 12 years
  • Maximum age: 70 years

No age restrictions for safaris, but minors must be accompanied by an adult.


9. Travel Insurance

Travel insurance is mandatory.

Your policy must cover:

  • Medical emergencies
  • Evacuation and repatriation
  • Trip cancellation
  • High-altitude trekking (for Kilimanjaro climbs)

Failure to provide valid insurance may result in denial of participation without refund.


10. Authority of Guides

  • All clients must follow guide instructions
  • The lead guide has final authority on all decisions
  • Clients may be required to descend for safety reasons

11. Assumption of Risk

You acknowledge that:

  • Adventure travel involves risks (altitude, wildlife, terrain)
  • Medical facilities may be limited in remote areas

By participating, you accept full responsibility for these risks.


12. Accommodation & Logistics

Accommodation

  • Shared accommodation is standard
  • Single supplements are available at extra cost
  • Alternative accommodations may be provided if necessary

Kilimanjaro Camping

  • Tents are shared (2 people per tent)
  • Private tents available at extra cost (where permitted)

13. Client Responsibilities

You are responsible for:

  • Personal gear and equipment
  • Travel expenses (tips, drinks, personal purchases)
  • Respecting local laws and customs

You are liable for any damage caused to property.


14. Luggage & Valuables

  • We are not responsible for lost or delayed luggage by airlines
  • Clients are responsible for personal belongings
  • Secure storage may be provided upon request

15. Media & Marketing

During tours, photos and videos may be taken.

By participating, you agree that:

  • Your image may be used for marketing purposes
  • No compensation will be provided

If you prefer not to appear, inform our team in advance.


16. Force Majeure

We are not liable for disruptions caused by events beyond our control, including:

  • Natural disasters
  • Political unrest
  • Weather conditions
  • Transport failures

17. Complaints

If you are dissatisfied:

  1. Inform your guide or tour manager immediately
  2. Contact our office for resolution

We aim to respond within 48 hours and resolve issues promptly.


18. Governing Law

These Terms and Conditions are governed by the laws of the United Republic of Tanzania.

Any disputes shall be handled under Tanzanian law.
